DotsFlow is a product of BusinessDots. Throughout these Terms,
“DotsFlow”, “we”, “us” and “our” refer to DotsFlow and
BusinessDots as applicable.
By creating an account, purchasing a subscription, using a
DotsFlow product, connecting an integration or otherwise using
our services, you agree to these Terms.
If you use DotsFlow on behalf of a company or other organization,
you confirm that you have authority to accept these Terms on its
behalf.
Our Services
DotsFlow provides software and related services designed to help
businesses manage customer conversations, calls, leads, website
enquiries, customer support and connected workflows.
Products may include DotsFlow CRM, Call Agent, Website Concierge
and related features, integrations, dashboards, automation,
reporting and support services.
Features available to you may depend on your selected plan,
configuration, usage allowance, connected services and any
separately agreed custom work.
Accounts & Access
You must provide accurate information when creating or managing a
DotsFlow account and keep your account information reasonably
current.
You are responsible for maintaining the confidentiality of your
login credentials and for activity performed through accounts
authorized by your organization.
You should only provide workspace access to employees,
contractors or other individuals who require access for legitimate
business purposes.
You are responsible for promptly removing or updating access when
a user no longer requires it.
Subscriptions & Plans
DotsFlow services may be offered through monthly subscriptions,
custom plans, usage-based pricing or other commercial arrangements
shown on our website, proposal, invoice or order confirmation.
Each plan may include specific usage allowances, products,
dashboards, integrations, workflows, users, phone numbers,
voice minutes or other features.
Features and allowances not included in your selected plan may
require an upgrade, add-on or separately agreed fee.
Usage allowances
Where a plan includes usage limits such as AI voice minutes,
messages, users or other measurable usage, those allowances apply
to the billing period stated for the plan.
Unless expressly stated otherwise, unused included usage does not
automatically roll over into future billing periods.
Additional Usage & Add-ons
If your usage exceeds the amount included in your plan, additional
usage may be charged at the applicable rate shown on the pricing
page, proposal, order form or account.
Additional voice minutes, users, integrations, phone numbers,
workflows, storage or other add-ons may carry separate charges.
Usage pricing may differ between plans and products.
For custom plans, usage allowances and additional usage rates may
be agreed separately before activation.
Billing & Payments
You agree to pay the fees associated with your selected DotsFlow
plan and any authorized additional usage, add-ons or custom
services.
Unless otherwise stated in writing, subscription charges are billed
in advance for the applicable billing period.
Usage-based or additional charges may be billed during or after the
billing period in which they are incurred.
Prices displayed by DotsFlow may exclude applicable taxes, bank
fees, currency conversion charges or third-party costs unless
expressly stated otherwise.
Third-party charges
Some DotsFlow functionality depends on third-party services.
Charges imposed directly by telecommunications providers, Meta,
messaging platforms, payment providers, ecommerce platforms,
phone carriers or other third parties may be separate from
DotsFlow subscription fees.
Renewals & Cancellation
Recurring subscriptions may renew automatically at the beginning
of each billing period unless they are cancelled, paused where
supported, or otherwise changed before renewal.
Cancelling a subscription prevents future renewals but does not
normally cancel charges already incurred or provide a refund for
a billing period that has already started.
Access to paid functionality may continue until the end of the
paid billing period unless the service is terminated earlier for
misuse, non-payment or another reason permitted under these Terms.
Refunds
Subscription, setup, usage and custom-service fees are generally
non-refundable once the relevant billing period or service has
started, except where required by applicable law or where
DotsFlow expressly agrees otherwise in writing.
If you believe you were charged incorrectly, contact us promptly
so we can review the transaction.
Approved refunds, where applicable, may be returned using the
original payment method or another agreed method.
Call Agent & Voice Services
DotsFlow Call Agent may answer, process, route or assist with
telephone calls and voice conversations based on the configuration
selected by the customer.
Call Agent functionality may include answering enquiries, capturing
leads, collecting booking information, summarizing conversations,
creating transcripts, routing calls, connecting workflows and
recording calls where recording is enabled.
Call recording and consent
You are responsible for determining whether call recording,
automated calling, AI-assisted calling, disclosure or consent
notices are required in the jurisdictions where you operate or
contact customers.
You must use DotsFlow voice services in accordance with applicable
telecommunications, privacy, consumer protection, marketing and
recording laws.
Emergency communications
DotsFlow Call Agent is not intended to replace emergency services
or emergency communication systems and should not be relied upon
for emergency calls or situations where immediate human
intervention is required.
Website Concierge
Website Concierge may provide automated chat or voice interactions
to visitors on websites where the service has been installed.
You are responsible for ensuring that your website provides any
privacy notices, disclosures, consent mechanisms or other
information required for your use of Website Concierge.
You are also responsible for the business information, policies,
products, services and other knowledge you provide for use by the
Concierge.
CRM & Customer Communications
DotsFlow CRM may allow businesses to manage supported customer
conversations, contacts, tickets, campaigns, templates,
ecommerce context and related workflows.
You are responsible for ensuring that messages, campaigns and
customer communications sent using DotsFlow comply with
applicable laws and the policies of the communication platform
being used.
You must not use DotsFlow to send unlawful spam, deceptive
communications or messages to recipients where you do not have
an appropriate basis to contact them.
Automation & AI-Generated Content
Some DotsFlow features use automated or AI-based systems to
generate responses, summarize conversations, classify information,
interpret requests, route interactions or perform configured
actions.
Automated outputs may occasionally be incomplete, inaccurate or
inappropriate for a particular situation.
You are responsible for reviewing your business knowledge,
instructions, workflows and important automated outcomes before
relying on them in production.
DotsFlow should not be used as a substitute for qualified human
judgment in legal, medical, financial, safety-critical or other
high-risk decisions.
Your Content & Data
You retain ownership of business information, customer data,
content, documents and other material you provide to DotsFlow,
subject to the rights necessary for us to provide the service.
You grant DotsFlow permission to process, transmit, store and
otherwise use that information as reasonably necessary to operate
the products and functionality you request.
You represent that you have the necessary rights and permissions
to provide information to DotsFlow and to use it through the
services.

Third-Party Services & Integrations
DotsFlow may connect with third-party platforms such as Meta,
WhatsApp, Instagram, Facebook Messenger, Shopify, WooCommerce,
email providers, telecommunications providers, calendars and
other business systems.
Third-party services are operated independently of DotsFlow and
may have their own terms, privacy policies, fees, limits,
availability and technical requirements.
DotsFlow is not responsible for outages, policy changes,
restrictions, suspensions or other actions taken by a third-party
service outside our reasonable control.
You are responsible for maintaining valid accounts, permissions
and authorization for third-party services you connect to
DotsFlow.
Acceptable Use
You must use DotsFlow lawfully and responsibly.
You may not use DotsFlow to:

Send unlawful, fraudulent, deceptive or abusive
communications.

Harass, threaten, impersonate or intentionally mislead
another person.

Distribute malware, malicious code or harmful material.

Attempt unauthorized access to DotsFlow or another user’s
workspace.

Circumvent product limits, security controls, billing systems
or access restrictions.

Violate applicable telecommunications, messaging, privacy,
marketing or consumer protection laws.

Use DotsFlow in a way that materially interferes with the
operation, security or availability of the service.

Security
DotsFlow uses technical and organizational measures intended to
protect the service and information processed through it.
You are responsible for protecting your own account credentials,
authorized users, connected third-party systems and devices.
If you become aware of unauthorized access or a security concern,
you should notify us promptly.

Service Availability & Changes
We aim to keep DotsFlow available and reliable, but we do not
guarantee that the service will always be uninterrupted,
error-free or available at a particular time unless a separate
written service-level agreement states otherwise.
Service availability may be affected by maintenance, software
updates, third-party providers, network problems, platform
restrictions, telecommunications services or circumstances
outside our reasonable control.
We may modify, improve, replace or discontinue features where
reasonably necessary as DotsFlow develops.
Beta & Early-Access Features
Some DotsFlow features may be described as beta, preview,
experimental or early access.
These features may change, contain additional limitations or be
discontinued as they are developed.
Beta or preview features should not be relied upon for
mission-critical operations unless otherwise agreed in writing.
Support & Implementation
Support levels, onboarding, optimization, implementation work and
response times may differ depending on your DotsFlow plan or
separately agreed service arrangement.
Custom integrations, workflow development, migrations or other
implementation work may require additional fees, timelines and
terms agreed before work begins.
DotsFlow Intellectual Property
DotsFlow, its software, interfaces, branding, designs,
documentation, technology and related materials are owned by
BusinessDots or its applicable licensors.
Your subscription gives you a limited, non-exclusive,
non-transferable right to use the applicable DotsFlow services
during your active subscription in accordance with these Terms.
You may not copy, resell, reverse engineer, reproduce or create
derivative works from DotsFlow except where expressly permitted
by law or agreed in writing.
Feedback
If you provide suggestions, ideas or feedback about DotsFlow,
you allow us to use that feedback to improve, develop or market
our products without an obligation to compensate you, unless
otherwise agreed in writing.
Suspension & Termination
We may restrict, suspend or terminate access to DotsFlow where
reasonably necessary because of non-payment, unlawful activity,
security risk, material misuse, violation of these Terms or
actions that threaten the service or other users.
Where reasonable, we may provide notice and an opportunity to
resolve the issue before termination, although immediate action
may be required for serious security, legal or abuse concerns.
Upon termination, your right to use the affected DotsFlow
services ends.
Disclaimers
DotsFlow is provided on an “as available” basis to the extent
permitted by applicable law.
We do not guarantee that automated responses, AI-generated
content, recommendations, transcripts, summaries, classifications
or other outputs will always be complete, accurate or suitable
for every purpose.
You remain responsible for business decisions and actions taken
based on information or automation provided through DotsFlow.
Limitation of Liability
To the maximum extent permitted by applicable law, DotsFlow and
BusinessDots will not be liable for indirect, incidental,
consequential, special, exemplary or punitive damages, or for
loss of profits, revenue, business opportunities, goodwill or
data arising from use of the service.
To the maximum extent permitted by law, our total liability for
claims relating to DotsFlow will not exceed the amount paid by
you to DotsFlow for the affected service during the six months
immediately preceding the event giving rise to the claim.
Some jurisdictions do not allow certain limitations of liability,
so some of these limitations may not apply to you.
Your Responsibility for Your Use
To the extent permitted by applicable law, you are responsible
for claims, losses or liabilities arising from your unlawful use
of DotsFlow, your violation of these Terms, your customer
communications, or content and data you provide through the
service.
Governing Law
These Terms are governed by the applicable laws of Pakistan,
without regard to conflict-of-law principles, unless mandatory
laws applicable to you require otherwise.
The parties should first attempt to resolve any dispute relating
to DotsFlow through good-faith communication before pursuing
formal proceedings.
Changes to These Terms
We may update these Terms as DotsFlow develops, our products or
pricing change, new services are introduced or legal and
operational requirements evolve.
The effective date displayed at the top of this page will be
updated when these Terms are revised.
Continued use of DotsFlow after updated Terms become effective
constitutes acceptance of the revised Terms to the extent
permitted by law.
General Terms
If any provision of these Terms is found to be invalid or
unenforceable, the remaining provisions will remain in effect.
A failure by DotsFlow to enforce a provision of these Terms does
not waive our right to enforce that provision later.
Any additional written order form, proposal, custom agreement or
service arrangement agreed between DotsFlow and a customer may
contain additional terms. Where there is a direct conflict,
specifically agreed written terms may take precedence for the
applicable service.
