Acceptable Use Policy

This Acceptable Use Policy explains the rules that apply when using DotsFlow CRM, Call Agent, Website Concierge and related DotsFlow services.

DotsFlow is a product of BusinessDots. We provide tools for customer communication, voice interactions, lead management, support workflows, automation and connected business operations.

This policy is intended to protect our customers, their customers, DotsFlow, third-party platforms and the broader services that support our products.

By using DotsFlow, you agree to use the service lawfully, responsibly and in accordance with this policy, our Terms of Service and applicable third-party platform rules.

Lawful Use

You may only use DotsFlow for lawful business purposes.

You must comply with applicable laws, regulations and industry requirements that apply to your business, communications, customers and use of DotsFlow.

This includes, where relevant, requirements relating to privacy, data protection, consumer protection, telecommunications, marketing, electronic communications and call recording.

Spam & Unwanted Communications

DotsFlow must not be used to send unlawful or abusive bulk communications.

You may not use DotsFlow to:

  • Send unsolicited messages where you do not have an appropriate legal or platform-approved basis to contact the recipient.
  • Send large volumes of deceptive, irrelevant or abusive messages.
  • Circumvent opt-out, unsubscribe or other communication preferences.
  • Purchase, scrape or use contact lists in a way that violates applicable law or platform policies.
  • Misrepresent the identity of the sender or the purpose of a communication.

Businesses are responsible for ensuring their use of campaigns, templates and automated messaging complies with the rules of the relevant communication channel.

WhatsApp, Instagram & Facebook Use

When DotsFlow is connected to Meta platforms such as WhatsApp, Instagram or Facebook Messenger, you must comply with the applicable Meta and platform policies governing those services.

You must not use DotsFlow to:

  • Circumvent WhatsApp, Instagram, Facebook or Meta messaging restrictions.
  • Send communications that violate applicable messaging categories, consent requirements or platform rules.
  • Attempt to avoid account, page, business or messaging restrictions imposed by Meta.
  • Use connected platform data for purposes that are not reasonably related to the functionality authorized by the customer or platform.

Call Agent & Voice Communications

DotsFlow Call Agent must be used responsibly and in accordance with applicable telecommunications, privacy, call-recording and consumer-protection requirements.

You may not use the Call Agent to:

  • Make unlawful automated calls or communications.
  • Contact people where you do not have an appropriate legal basis to do so.
  • Misrepresent the identity of the business or purpose of the call.
  • Intentionally deceive callers into believing they are speaking with a particular person when that would be misleading or unlawful.
  • Record calls where recording is prohibited or required consent has not been obtained.
  • Use DotsFlow for emergency-response or safety-critical calling systems.

Disclosure and consent

You are responsible for determining whether disclosure, notice or consent is required for automated voice interactions, AI-assisted calls or recordings in the locations where you operate.

Website Concierge Use

Website Concierge may be used to answer questions, capture leads, assist website visitors and support business workflows.

You may not configure Website Concierge to:

  • Intentionally provide false or deceptive information.
  • Collect information that you do not reasonably need for your stated business purpose.
  • Impersonate another company, person or organization.
  • Mislead visitors about products, services, prices, policies or business relationships.
  • Collect highly sensitive information without an appropriate lawful basis and suitable safeguards.

Fraud, Deception & Impersonation

DotsFlow may not be used to facilitate fraud, deception, impersonation or other dishonest activity.

Prohibited activity includes:

  • Phishing or credential theft.
  • Payment or invoice scams.
  • Identity theft or impersonation.
  • False business representations.
  • Fraudulent lead generation.
  • Fake support or customer-service schemes.
  • Deceptive sales practices.

Harassment, Abuse & Harmful Conduct

You may not use DotsFlow to threaten, harass, intimidate or abuse another person.

DotsFlow may not be used to distribute or facilitate content or communications that are unlawful, threatening, intentionally abusive or designed to cause harm.

Illegal or Restricted Activities

DotsFlow may not be used to facilitate activities, products or services that are illegal in the applicable jurisdiction.

You are responsible for determining whether your products, services and communications are permitted under applicable laws and the policies of connected platforms.

We may restrict use of DotsFlow where an activity creates substantial legal, security or platform-compliance risk, even if it is not expressly listed in this policy.

Malware & Technical Abuse

You may not use DotsFlow to distribute malware, malicious code or harmful software.

You may not:

  • Introduce viruses, ransomware, spyware or other malicious software.
  • Attempt to interfere with DotsFlow systems, infrastructure or connected services.
  • Probe, scan or test DotsFlow security without prior authorization.
  • Attempt to gain unauthorized access to another customer’s workspace or information.
  • Use automated methods to overload or intentionally degrade DotsFlow systems.
  • Circumvent rate limits, security controls or technical restrictions.

Account & Workspace Abuse

DotsFlow accounts and workspaces must be used only by authorized users for legitimate purposes.

You may not:

  • Access or attempt to access another organization’s workspace without permission.
  • Share credentials in a way that bypasses plan or user limits.
  • Create accounts to evade suspension or enforcement action.
  • Use false account information to conceal abusive activity.
  • Circumvent billing, usage or subscription restrictions.

Customer Data & Privacy

You are responsible for ensuring that information you provide to DotsFlow has been collected and may be processed lawfully.

You should not use DotsFlow to:

  • Collect more personal information than reasonably necessary for your business workflow.
  • Access, disclose or use customer information without an appropriate basis.
  • Intentionally expose customer information to unauthorized people.
  • Store credentials, passwords or authentication secrets in ordinary customer conversation fields unless the relevant product is specifically designed for that purpose.

Automation & AI Use

DotsFlow automation and AI features should be configured and used with reasonable human oversight.

You may not intentionally configure automated systems to:

  • Generate fraudulent or deliberately misleading customer communications.
  • Circumvent legal or platform restrictions.
  • Pretend to possess authority, qualifications or credentials that the business does not have.
  • Make high-risk decisions where qualified human review is required by law or is reasonably necessary.

Customers should test important automations, business knowledge, routing and responses before using them in production.

High-Risk & Safety-Critical Use

DotsFlow is designed primarily for customer communication, business workflows, lead management, sales and support.

You should not rely on DotsFlow as the sole system for emergency, life-safety or other situations where incorrect or delayed communication could create a substantial risk of serious harm.

Automated DotsFlow outputs should not replace qualified professional judgment where legal, medical, financial or other regulated professional advice is required.

Third-Party Platforms

DotsFlow integrates with services operated by other companies. Your use of those platforms remains subject to their own terms, policies and restrictions.

This may include Meta products, Shopify, WooCommerce, telecommunications providers, calendars, email services and other connected platforms.

You may not use DotsFlow to bypass restrictions imposed by a third-party platform.

Excessive or Abusive Resource Use

You may not use DotsFlow in a way that unreasonably consumes platform resources or materially affects service availability for other customers.

We may apply reasonable technical limits, usage restrictions, rate limits or plan requirements where necessary to protect the service.

Usage exceeding the limits of a paid plan may require additional usage fees, an add-on or an upgrade rather than attempts to circumvent those limits.

How We Enforce This Policy

If we reasonably believe that use of DotsFlow violates this policy, our Terms of Service, applicable law or creates a material security or operational risk, we may take appropriate action.

This may include:

  • Requesting that the customer correct the issue.
  • Restricting a feature or integration.
  • Applying technical or usage limits.
  • Temporarily suspending access.
  • Terminating an account in serious or repeated cases.

Immediate action may be taken where necessary to address fraud, security threats, unlawful activity or serious abuse.

Reporting Abuse

If you believe DotsFlow is being used for spam, fraud, abusive communications, unauthorized access or another violation of this policy, please contact us.

Provide enough information for our team to identify and review the relevant account, communication or activity.

Changes to This Policy

We may update this Acceptable Use Policy as DotsFlow develops, new products or integrations are introduced, platform policies change or legal and operational requirements evolve.

When this policy is revised, the effective date at the top of the page will be updated.
